Job Posting: Program Assistant at Red Wing Downtown Main Street

Job Summary

Provides administrative support, assistance with special projects and events, fundraising initiatives, volunteer management activities, and any other responsibilities deemed appropriate. Serves as an advocate for the downtown area.

Organization Relationships

Reports to Red Wing Downtown Main Street Executive Director

Other: This position entails regular contact with downtown property and business owners, city department heads and staff, community organizations and businesses, and the general public.

Essential Duties

Manage the organization’s finances including invoicing, accounts receivable, accounts payable, payroll and payroll taxes using QuickBooks. Responsible for paying withholding tax and filing all quarterly tax reports to the appropriate state and federal agencies.

Manage administrative aspects of the program including purchasing, record keeping, budget development and accounting, and preparing reports required by the Board of Directors.

Assist in planning and coordinating Downtown Main Street projects, special events, fundraising initiatives, volunteer management and recruiting. Keep a data system to track the process and progress of all activities.

Provide administrative support for Board meetings and activities to include preparation of meeting materials, scheduling, communication and documentation. Assist with implementation of work plan items of the Board and/or committees.

Assist in maintaining the organization’s web pages, social media, outreach, and promotions and other communications materials. Inform Downtown Main Street members via email to all developments affecting the organization, downtown business district and Red Wing in general.

Assist in building strong and productive working relationships with appropriate public agencies at the local level. Provide quality customer service to members, the general public and all other work contacts.

Communicate with downtown merchants’ organizations, Visitors & Convention Bureau, and Chamber of Commerce on Downtown Main Street program activities and goals; assist with joint promotional events and festivals. Assist in coordinating Main Street activities with community partners and downtown stakeholders, encouraging a cooperative and collaborative environment.

Assist the Board of Directors, Executive Director, and committees ot ensure the Downtown Main Street program maintains standards required by the Minnesota Main Street Program to maintain National Accredited Program status.  Attend trainings conferences, and meetings to stay current with MN and National Main Street programs.

Perform other duties as needed under direction of the Executive Director.
